The new self-checkout system at Bayreuth University Library
The University Library of Bayreuth relies on modern technology and now offers convenient self-checkout of media at several locations. How it works, where it is available, and what it offers.
What used to be possible only at the circulation desk can now be done independently: scan your card, place the book on the glass, and you're done. This independent borrowing is made possible in the University Library (UB) by radio-based labels that make media clearly identifiable. RFID technology has been in use in the Life Sciences Branch Library in Kulmbach since November 2023. In July 2025, self-checkout was launched in the central library and in the NW I, NW II and GEO branch libraries.
The borrowing process consists of the following steps: Select the item you wish to borrow on the screen (alternatively, you can access your account). Then place your library card on the area marked with the RFID symbol (also marked with an arrow) to log in. The media are then placed individually on the illuminated glass surface one after the other. If the title is highlighted in green in the borrowing list, the process was successful. It is important that the media are placed on the illuminated surface one after the other and are not removed too hastily – first the booking, then the deactivation. Anyone who is too quick and accidentally skips the deactivation will be reminded by a clear audible signal when leaving the library through the gate. The staff at the lending desk will then help you by deactivating the labels retrospectively. Incidentally, the confirmation after successful borrowing also works automatically: an email with a receipt is sent directly to your inbox.
If you want to give it a try, you won't be left alone at the devices: posters in German and English explain how to use them step by step, and the terminals also provide instructions. And if anything is still unclear, our colleagues at the University Library will be happy to help you at any time.
Currently, users can borrow items from the open stacks themselves. However, orders must still be picked up at the circulation desks. Media that may only be used in the reading rooms – such as old stock or books with restricted use – remain subject to the old procedure and will continue to be issued by staff.
From 4 August, life in the libraries mentioned above will become even more relaxed – jackets and bags will then also be allowed in the library area. This is made possible by improved theft protection: the RFID gates detect media that have not been correctly checked out and reliably raise the alarm.
The changeover brings great advantages for both users and staff at the University Library. ‘Students gain more independence – and we gain valuable time for advice and support,’ explains Stephanie Herzog, deputy library director. ‘We can now devote more time to users, especially when it comes to individual requests.’
And the future? It is already in the starting blocks: the holdings of the RW branch library are currently being equipped with RFID labels. Self-checkout devices and new gates will then also be used there. In addition, an intelligent return shelf is planned that automatically checks media back in. Staff-independent access options, such as those already in place in Kulmbach, are also to be established at other locations.
